Anti-money laundering checks
Identity checks
Send each person a link to prove who they are, follow the result on the client's Compliance tab, and know when the MLRO must decide.
An identity check asks a person to prove who they are, on a link Orin OS sends them. You request checks from the client's Compliance tab, or from the Verify identity step while adding a client, and the results come back to the same place. You can also check the business itself.
Before you start
- To request checks you need permission to request AML checks. Without it, the screen says so instead of offering the button.
- The checks are paid from your AML wallet, so it needs enough free to cover them.
- Have an email address for each person you are checking. The people come from the client's Ownership tab, so add anyone missing there first.
- Deciding a check that was referred or failed is for your money laundering reporting officer (MLRO) only.
Steps at a glance
Step 01
Open the client's identity checks
Open the client from Clients and select the Compliance tab. Scroll to Identity. Identity gate says whether this client is waiting on identity checks, and Checks shows the latest check for each person and for the business.
The Identity section. 1: Request identity checks. 2: the latest check for each person and for the business. While adding a new client, the same checks are on the Verify identity step. See Adding a client.
Step 02
Request the checks
Select Request identity checks. Everyone is ticked; untick anyone you do not want to check now. For each person, check the address under Send name's link to. That is where their link goes, and it is required. A company check for the business itself needs no address.
Tick Add ongoing monitoring for a year for anyone you want watched after the first check. It adds to the price.
The window shows the price of each check, the Total, what is Free in your AML wallet and what will be Free after the hold. Select the button that reads Hold, the total, and and send links, for example Hold €24.00 and send links. The total is held from the wallet and each person is emailed their link.
Requesting checks. 1: where the link goes. 2: ongoing monitoring. 3: hold the cost and send the links. Example addresses shown. If the wallet does not have enough free, the window says so and links to the wallet to top up. Nothing is sent until the whole total can be held.
Screenshot of the sent result not captured: sending emails each person, so it was not done on the demo business.
Step 03
Follow each check
The person opens their link and chooses how to prove who they are: online with their ID and a photo, by uploading a certified copy of their ID, or by bringing their ID to your business in person. Their link shows the date and time it stops working.
Each check then shows its outcome in Checks: Passed, Referred for a closer look, or Failed, with the reason in Why and the amount Charged. On the Verify identity step you can also:
- select Send a new link if the person lost theirs. The earlier link stops working.
- select Cancel the check. What was held for it is released to the wallet.
Step 04
Decide a referred or failed check
A check that is referred or failed opens a task for your MLRO, and they are told. The MLRO selects Decide beside the check on the Compliance tab, chooses Accept: treat this check as passed or Refuse: treat this check as failed, writes at least 100 characters of Reasoning, and selects Save decision.
The original result is kept as it was. The decision is recorded beside it.
Screenshot not captured: the demo has no referred or failed check, and deciding one is for the MLRO's account.
If no identity check can be run
If the identity service cannot be reached, the Verify identity step says No identity check can be run. Select Check again to retry, or Proceed without an identity check and confirm. The client is then marked Not identity-checked and your MLRO is told. When a check can be run again, the client's record says so; run one as soon as you can.
What success looks like
Every person you checked shows as Passed in Checks, or has an MLRO decision beside their result. For a client you are adding as new to the firm, the Identity gate then no longer holds up acceptance.
Next steps
- AML reviews and re-screens: what recurs after the client is accepted.
- The AML wallet: top up before you run out.
Common questions
Does every client have to pass an identity check before I can accept them? Only a client you add as new to the firm, and only the people whose ownership or control matters. The check on the business itself is never required. A client carried across as an existing client does not wait, though you can still check anyone.
Why does the page say the provider is a test provider? That appears in test environments only. Results there are not real.
