Capture: letting Orin read documents
How Orin reads documents, how reading is paid from the AI wallet, and what happens when it runs out.
Capture is Orin reading your documents and pulling the details out of them, so an invoice arrives with its type, client, date and amounts already filled in rather than waiting for somebody to type them. Reading uses a paid AI service, so it is paid for from your firm's AI wallet. This article explains how that works and how to see what reading has cost.
Before you start
- You need permission to view AI usage to open the AI wallet. Changing how the wallet is split needs permission to manage AI usage.
- The AI wallet is in Settings, under AI wallet.
How reading works
- Every upload is read. When a file arrives, whether you uploaded it or a client sent it, Orin works out what it is and which client it belongs to, then reads its details.
- What Orin is sure of is filed; the rest waits. A document Orin is unsure about waits in For review until a person confirms it. Confirming is what makes the details official.
- Each read is charged to the wallet. The money is set aside before the document is read and settled at the real cost afterwards, so a large upload cannot overspend.
Steps at a glance
Step 01
Open the AI wallet
Open Settings and select AI wallet. The bar at the top shows how much of the wallet is used this month, split between Aiden, document reading and advisory. Choose another month at the top right to look back.
The AI wallet. Document reading has its own card in the middle. Step 02
Read the Document reading card
The Document reading card shows what reading has cost this month, how many documents were read, how many of those were filed or not accepted, and how many document types Orin reads. Select Details for more.
What one costs, further down the page, lists the average cost of one document read in your currency. It is a guide rather than a promise.
Step 03
Give document reading its own amount
Under Split by feature, type an amount into Document reading to set money aside for it, or leave it empty so it shares whatever is not allocated. Select Save.
When the wallet runs low you can select Buy a pack at the top, if you can also manage the subscription.
An empty wallet stops reading. When there is no money left for document reading, Orin does not read new documents. They still upload and are kept; their details are filled in by a person instead.
What success looks like
You can see this month's reading cost on the Document reading card, and the split shows the amount set aside for it.
Next steps
- For review, Processing, Quarantine and Bin: confirming what Orin read.
- AI capture spend: what reading has cost, per client.
Common questions
A document was not read. Check the AI wallet first. If nothing is left for document reading, new documents are not read. A file Orin could not finish reading for another reason, such as a password, is in Processing.
Everything it extracted is wrong. Do not confirm it. Correct the details in For review, then confirm.
Where did Capture settings go? Capture's spend now comes from the firm's AI wallet, which replaced the separate capture limit.
