Uploading and filing

Upload files to the Documents app and check the client and type Orin filed them under.

Updated DocumentsLast checked

Documents live in the Documents app and are filed against the client they belong to. When you upload, Orin reads each file and fills in its details for you: what it is, which client it is for, its date. Anything Orin is unsure about waits in For review for a person to confirm. This article shows you how to upload and how to check where a document was filed.

Before you start

  • You need permission to add documents. If Upload is missing, ask a firm administrator.
  • Open Documents from Documents in the Practice menu or from the app grid in the top bar. It opens at Documents.
  • Each file can be up to 20 MB.

Steps at a glance

  1. Step 01

    Open the upload

On the Documents page, select Upload at the top right.

  2. Step 02

    Choose the files

Select Choose files, or drop files or folders here, or Choose a folder to take a whole folder. PDFs, scans, photos, spreadsheets, saved emails and ZIP files are accepted. A file over the limit is marked Too large.

  3. Step 03

    Set confidentiality and retention

Confidentiality and retention applies to every file in this upload: General, with no retention date, unless you select Change. The level is recorded on the document and in its audit trail. Then select Upload.

Each file shows Uploaded when it is in. The final upload was not run on the demo business, because reading a file is charged to the firm's AI wallet.

  4. Step 04

    Check how it was filed

Open the document from the list. Its Details show the Document type and Client it is filed under. A document Orin was unsure about is in For review instead: read it beside its details, correct anything Orin got wrong, and select Confirm. What you confirm is what gets filed.

What success looks like

The document is in the list with its type and client, and appears on that client's record under Documents, so the next person to pick up the work finds it without asking you.

Finding documents

Search by name, description or file, or tick filters on the left such as Document type and Client. Add level groups the filtered list, and a filtered list can be saved as a view. Your firm's storage use is shown at the foot of the menu.

Common questions

Can I upload the same document twice? Picking the same file twice in one upload adds it once. Check the client's documents before uploading something a colleague may already have filed.

Somebody cannot see a document I filed. Access follows the document's type and the clients they work on. See Document types and confidentiality.

Why can I not download a document I uploaded? A document waiting in For review cannot be downloaded until somebody confirms what it is.
