Business details
Your business’s names, logo, currency, financial year, compliance roles, engagement approver and document numbering.
Business details holds your business's identity and the conventions everything else follows: the names on letters and invoices, your logo, billing currency and financial year, compliance roles, who approves new engagements, and how documents are numbered.
For business administrators
Anyone allowed to view the business profile can open this page. Saving needs permission to manage it.
Before you start
- Have your registration number, VAT number and registered email to hand. The panel on the right lists What is missing; invoices and engagement letters print without anything left blank.
- For a logo, use a PNG, JPEG or WebP image up to 2 MB. Square works best.
Steps at a glance
Updating your business details
Step 01
Check your business identity
Go to Settings, then Business details. Under Business identity, check Registered name, Trading name, Registration number, VAT number and Registered email. Under What your letters print about you, add your phone number, website, regulator and your number with them. Each is optional; anything left empty is left off the letter.
Business identity and the logo panel. 1: Save changes. Jurisdiction and Company type are shown but cannot be changed here, because they sit under invoices and letters you have already issued. Talk to support if either is wrong.
Step 02
Upload your logo
In the Logo panel on the right, drag an image in or choose a file. The preview shows where it lands: the Sidebar badge and the Invoice letterhead. How it looks on letters is set under Letter branding in Templates and Forms. Use Remove to take it off. The logo is saved as soon as you choose or remove it (Business logo updated.); it does not wait for Save changes.
Step 03
Set billing and invoicing
Under Billing and invoicing:
- Currency is set from the country your business is registered in, so invoices, VAT and your ledger always agree. It cannot be picked.
- Financial year end: choose the month and day.
- Date format: how dates are shown.
- Payment terms: days from the invoice date until it is due. Enter 0 for due on receipt.
- Records start from: the earliest date internal time and rota shifts can be recorded against.
The full page, from identity down to numbering. Step 04
Name your compliance roles and approver
Under Compliance, choose your Money laundering reporting officer (MLRO) and Ethics partner; both are optional. AML review notice is how many days before a client's review is due its task is raised, from 1 to 180. Under Approvals, the New engagement approver signs off a new engagement before it goes live. Left unset, it follows your business admin.
Step 05
Adjust document numbering
Under Numbering, each kind of document (sales invoice, credit note, estimate and others) has its own counter. Use
{YYYY}or{YY}for the year,{MM}and{DD}for the date, and exactly one{SEQ:0001}for the number that counts up; the zeros set how many digits it pads to. Next number previews the result. Reset goes back to the default.Adding a year token restarts the counter at 1 every January. Changing the format never renumbers documents already issued.
Step 06
Save your changes
Apart from the logo, nothing is kept until you press Save changes at the foot of the page, which saves every section you edited. Cancel discards your edits.
When it has worked
A message confirms what was saved, for example Business settings saved. or Numbering saved. If nothing had changed you see Nothing to save. The What is missing panel updates as fields are filled.
Next steps
- Set what you charge in Hourly rates (setup).
- Read about invoices in Billing and invoices.
Common questions
Our logo looks wrong on letters.
Replace it here. Documents already issued keep the logo they were made with.
Can we bill in a different currency?
Not from this page. The currency follows your registered country. Talk to support if your business has genuinely moved.
Nobody can approve a new engagement.
The page shows a warning when the chosen approver, or your business admin, is no longer an active member. Choose someone else under Approvals.
