Time and money
Logging time
Log time you have worked against a task step, run a timer, or log internal time.
Time is always logged against a task, which ties it to an engagement and a client, and so to an invoice. You can draw time you have already worked, or run a timer while you work.
Before you start
- The work needs a task. If a task has steps, time goes on a step, so pick the step you worked on.
- You can only log time that has already happened.
- Whether time is billable is decided by the work, not by you: time on a client's task is billable, firm-internal time is not. There is no billable tickbox.
Steps at a glance
Log time
Step 01
Open Log time
Open it from wherever the task is in front of you:
- On Capacity, My Workload, select Log time under the task's name.
- On a task, select the clock button on a step's row.
- On your Timesheet, select a figure in the grid.
1: Log time under a task on My Workload. Step 02
Pick what you worked on
Under Work on, select the step. Until you do, the button at the bottom reads Pick what you worked on. Whose time stays on Me unless you log for somebody else.
Step 03
Draw or type the time
Choose the day with the day buttons or the date field. Then click the strip to add a block and drag its edges, or type a Start and End. The two always agree, and Duration shows the result. Time snaps to five minutes, and hours already claimed cannot be drawn over.
1: the step you worked on. 2: start and end. 3: the button names the hours it will log. If the button asks you to add a note, the step needs more time than was estimated. Say why in the note, then log it.
Step 04
Log it
Select Log with the hours shown, for example Log 1h. A message confirms the time logged against the task, and the entry appears under Logged on this task and on your timesheet as unsubmitted.
Step 05
Or run a timer
On a task, select the play button on a step's row, or Start in the Log time window. A pill appears in the top bar with the time running and the task's name, and stays on every screen. Select its stop button to stop the timer and log the time, or the bin to discard it without logging anything.
1: log time already worked on this step. 2: the running timer's stop button in the top bar. You have one timer. Starting another stops the first and logs its time.
Step 06
Log internal time
For time that is not client work, open Timesheet and choose a category from Log internal time: Bench, Break, Casual leave, Holiday, Meeting, Sick leave, Standard time or Travel. The same Log time window opens on that category.
Internal time categories. These are always non-billable.
When it has worked
The hours appear on your Timesheet with the unsubmitted dot. They count towards billing only after the week is submitted and approved. See Timesheet.
Common questions
I worked on something with no task. Use Log internal time if it is firm work, or raise a task. Time with nothing to attach to cannot reach an invoice or a report.
I logged time to the wrong task. Remove the entry in the Log time window while it is still unsubmitted, then log it on the right task. Once submitted, ask your approver to send it back.
Why can I not mark time as billable? Billable follows the work: the task, its engagement and its client decide it, so the same work is always treated the same way.
Is non-billable time worth logging? Yes. It is how your business learns what a client actually costs to serve.
