AI wallet and Capabilities
What your business spends on AI and document reading, the limits it runs under, and the skills work is matched against.
Two settings that shape how work gets done. The AI wallet is what your business spends on AI, including Capture's document reading, and the limits it runs under. Capabilities are the skills your business offers, which work is matched against.
Capture's spend used to have a page of its own. It now sits in the AI wallet, under Document reading, and old links to it open there.
Before you start
- The AI wallet needs access to Aiden usage. Without it you see You can't see the AI wallet. Changing the split, allocations or auto top-up needs the matching manage permission; without it the page is read-only.
- Capabilities needs permission to view capabilities, and to manage them to add or change one.
The AI wallet
Step 01
Open the AI wallet
Go to Settings, then AI wallet. The bar at the top shows how much of this month's wallet is used, split between Aiden, Document reading and Advisory. Choose another month at the top right to look back.
The AI wallet. 1: Details for document reading. Step 02
Choose which documents are read
On the Document reading panel, press Details. Under Documents to read, untick a kind of document to stop Orin reading figures from it. Unticked kinds are still identified and filed, which costs less. The same panel shows where documents ended up: Read, Filed, Not accepted or Failed.
Document reading details. Step 03
Split the wallet between features
Under Split by feature, give Aiden, Document reading or Advisory an amount of its own, or leave a box empty so that feature shares whatever is not allocated. Press Save. Under People you can give individuals their own amount; anyone without one shares the feature's pool.
Step 04
Top up when you need to
Under Packs, Buy a pack adds to the wallet. Packs are spent after the monthly allowance, carry over from month to month, and never expire. Auto top-up buys a chosen pack when the wallet falls below a percentage you set, at most once a day, and emails administrators each time.
When the wallet is used up, AI features pause
The page says The wallet is used up, so AI features are paused until next month or until a pack is bought. Document reading stops rather than running on; documents still arrive and are filed.
Capabilities
A capability is competence, not access: what someone is qualified to do, rather than what they may see. Only somebody holding every capability a task requires can be given that work.
Step 01
See who holds a capability
Go to Settings, then Capabilities, and select a capability. The panel on the right lists Who holds it. Choose a colleague under Give it to somebody and press Add, or use the cross beside a name to take it away.
Capabilities. 1: Add capability. Step 02
Add a capability
Press Add capability, enter a Name, and press Add capability in the dialog.
Adding a capability. Step 03
Retire one you no longer offer
Use the deactivate button on its row. It disappears from the capability pickers and nobody new can be recorded as holding it. It is not deleted: people who already hold it keep it. Find it again under Inactive.
Next steps
- See how documents are read in Capture: letting Orin read documents.
- See the skill grid in Placing work with Capacity, on its Skill availability tab.
- Require a capability for a kind of task in Task types and Document types.
Common questions
Documents arrived without their figures.
Check the AI wallet. If it is used up, reading is paused until next month or a pack is bought. Also check the document kind is ticked under Documents to read.
Somebody cannot be assigned a task.
They probably do not hold a capability the task requires. Add it on the capability, or on their record in Access control.
